About the role

As a key member of the Shared Services team, you will be responsible for a wide range of administrative and front desk duties (excluding phone answering). This includes greeting clients, families, and visitors in a professional and friendly manner. You will play a vital role in presenting a welcoming and efficient office environment and supporting day-to-day administrative tasks.

This is a permanent part-time role, with working days on Mondays, Thursdays and Fridays from 8:30am to 5:00pm. Some flexibility may be required based on operational needs.

Key Responsibilities

  • Greet all visitors in a courteous, professional, and friendly manner.
  • Ensure the reception, boardroom, kitchen, and shared areas are tidy and professionally presented at all times.
  • Monitor and manage the visitor sign-in/out process to maintain security protocols.
  • Sort and distribute incoming mail, and coordinate all outgoing mail (including express and registered post).
  • Respond to desk, parking, and meeting room booking requests
  • Provide general administrative support including data entry, filing, photocopying, laminating, and document preparation.
  • Coordinate meeting room bookings and support meeting room setup as needed.
  • Monitor and replenish office and stationery supplies as required.
  • Assist other team members with ad hoc administrative tasks as needed.

 Skills & Experience

  • Prior experience in an administrative or front desk support role.
  • Strong interpersonal and written communication skills.
  • Ability to handle all matters with empathy and maintain a high level of confidentiality and discretion.
  • Proven ability to manage time effectively and prioritise workload.
  • A proactive approach to problem-solving and a willingness to take initiative.
  • Competency in Microsoft Office programs (Word, Outlook, Excel, etc.).
  • Ability to work independently as well as part of a collaborative team.

Successful candidates will be required to clear probity checks including National Criminal History Record Check and Working with Children Check and relevant child protection checks per state.
