About the role
Provide high-level administrative and operational support to assist with efficient and effective functioning of the Mental Health Programs in WA. This is a permanent full time newly created position located in a busy, vibrant office in Fremantle.
Key responsibilities
- Assist as a liaison between internal National teams and Mental Health Programs
- Provide administrative support to Team Leaders in the course of their roles
- Ensure ready availability of office, household and facility supplies
- Coordinate meetings and reporting, prepare agendas and minutes as needed.
- Assist with procurement, accounts payable, credit card and petty cash reconciliation, and expense and rent income tracking.
- Perform reception duties including welcoming visitors and answering phone calls and administrative tasks including data entry, filing, and preparing documents and presentations.
- Organise and coordinate maintenance and liaise with contractors onsite.
- Use LWB systems and dashboards to compile data and reports.
- Support compliance, quality, practice, and safeguarding activities.
- Assist with P&C and Safety tasks, including recruitment, onboarding, and compliance.
- Provide project and program support.
- Build and maintain strong stakeholder relationships.
- Contribute to service and program improvement through forums and reviews.
Skills & experience
- Cert IV in Business Administration (or equivalent) or relevant experience.
- Proven ability to manage competing priorities and meet deadlines with high-quality outcomes.
- Experience in administration undertaking human resource and financial process activities.
- Strong stakeholder engagement and relationship-building skills.
- High level of confidentiality and discretion with sensitive information.
- Ability to work independently and collaboratively in fast-paced environments.
- Proactive, uses initiative, and applies sound judgment.
- Strong problem-solving and organisational skills.
- Excellent verbal and written communication skills (reports, correspondence, complex documents).
- Advanced Microsoft Office proficiency.
Successful candidates will be required to clear probity checks including National Criminal History Record Check and Working With Children Check.
